Imbewu Connect User Policy

Please read this policy carefully. By using Imbewu Connect, you agree to be bound by its terms.

1Introduction

This User Policy governs access to and use of the Imbewu Connect platform, owned and operated by Imbewu Yethu Foundation (NPO). The platform is designed to support learners through coordinated engagement between schools, alumni, governing bodies, supporters, and service providers.

By accessing or using Imbewu Connect, all users agree to comply with this policy.

2Scope of Application

This policy applies to all users of the platform, including:

  • Learners
  • Parents and guardians
  • Educators and school administrators
  • Alumni members
  • School Governing Body (SGB) members
  • Supporters and donors
  • Suppliers and service providers
  • Community stakeholders

3User Registration and Account Responsibility

Users are required to:

  • Provide accurate, complete, and up-to-date information
  • Maintain confidentiality of login credentials
  • Accept responsibility for all activities under their account

Imbewu Connect reserves the right to verify user information and to restrict or terminate accounts that provide false or misleading information.

4User Roles and Responsibilities

4.1 Learners

Learners must provide accurate information and use the platform responsibly.

4.2 School Administrators

Responsible for verification, approvals, and institutional compliance.

4.3 Alumni Members

Must engage ethically and support learners responsibly.

4.4 SGB Members

Must uphold governance standards, confidentiality, and proper record-keeping.

4.5 Supporters and Donors

Must provide truthful information and act in a lawful and ethical manner.

4.6 Suppliers and Service Providers

Must deliver services professionally and in accordance with agreements.

5Data Protection and Privacy

Imbewu Connect complies with the Protection of Personal Information Act (POPIA).

  • Personal data is processed lawfully and securely
  • Sensitive learner data is restricted
  • Unauthorised sharing or misuse of data is prohibited

6Sensitive Information and Access Control

Sensitive learner information is restricted to authorised personnel only.

Any unauthorised access, disclosure, or misuse of such information is strictly prohibited and may result in disciplinary or legal action.

7Acceptable Use Policy

Users must not:

  • Engage in harassment, exploitation, or abuse
  • Provide false or misleading information
  • Misuse funds, support mechanisms, or platform features
  • Attempt unauthorised system access
  • Use the platform for unlawful purposes

8Support and Donation Governance

All support must:

  • Be recorded and traceable within the platform
  • Comply with applicable financial and legal requirements

Imbewu Connect may monitor transactions and issue compliance documentation, including donation certificates where applicable.

9Communication and Messaging

All communication must be respectful, appropriate, and relevant.

Imbewu Connect reserves the right to monitor, log, and restrict communication where misuse is detected.

10Pricing and Subscription

Imbewu Connect operates on a subscription-based model.

  • Subscription plans are offered at different levels based on features and usage
  • Pricing is subject to periodic review and may be adjusted

Users acknowledge that any changes to pricing will be communicated in advance, and continued use of the platform after such notification constitutes acceptance of the revised pricing.

11Account Suspension, Termination, and Removal

Imbewu Connect reserves the right to suspend accounts temporarily, terminate access, or permanently remove accounts. This may occur where:

  • A user violates this policy
  • False information is provided
  • The platform is misused
  • There is a risk to learners, institutions, or the platform

School administrators may also initiate suspension or removal within their respective schools.

12Violation of Platform Rights

Users are prohibited from:

  • Attempting to copy, replicate, reverse-engineer, or exploit the platform
  • Using the platform for unauthorised commercial purposes
  • Interfering with system integrity or security
  • Circumventing access controls or permissions

Any violation of platform rights may result in immediate suspension or termination of access, and legal action where applicable.

13Role-Based Access Control

Access to data and functionality is determined by user role and approval status. Users may only access information relevant to their role.

14Use of Technology and AI Tools

Imbewu Connect may provide AI-assisted features, including:

  • Meeting transcription and minute generation
  • Data analysis tools

These tools support users but do not replace human accountability.

15Limitation of Liability

Imbewu Connect acts as a facilitating platform.

  • It does not guarantee outcomes of support or interventions
  • It is not liable for actions of users or third parties
  • Users engage with the platform at their own risk

16Amendments to the Policy

This policy may be updated periodically. Users will be notified of material changes. Continued use of the platform constitutes acceptance of the updated policy.

17Governing Law

This policy is governed by the laws of the Republic of South Africa.

18Free Trials

Imbewu Connect offers a 30-day free trial to qualifying schools. During the trial period, schools receive full access to the features of their selected plan.

  • Schools must provide accurate and complete information during trial registration
  • All learner data captured during the trial must be handled in compliance with POPIA
  • The trial may not be used for purposes outside the scope of educational support
  • Imbewu Yethu reserves the right to terminate a trial early in the event of misuse or policy breach

Trial participants are encouraged to explore all platform features and provide feedback to help us improve the service.

19Post-Trial & Continuous Use

Upon expiry of the free trial, schools must transition to an active paid subscription to continue using the Platform.

  • If no subscription is activated within 7 days of trial expiry, account access will be suspended
  • School data is retained for 90 days after suspension to allow for migration or subscription activation
  • Reminder notifications will be sent prior to trial expiry
  • All data captured during the trial period is retained and fully accessible once a subscription is activated

To ensure uninterrupted service, schools are encouraged to select and activate a subscription plan before the trial expiry date.
